What a drone gives an event that a ground crew cannot
A ground film crew covers 80 percent of event-video needs: keynote, speaker close-up, networking, booth B-roll. The remaining 20 percent is exactly what a paid aftermovie uses to sell the next edition. Three mandatory frames that a ground crew cannot make: crowd scale from above, brand OOH integration with the venue architecture, and the venue context within the city panorama. In Warsaw this matters in particular: PGE Narodowy in frame with the Vistula and the Centre is a brand asset that sponsors buy for the following year.
According to the MICE Industry Report Polska 2024, conferences and festivals with a 60-90 second aftermovie achieve 24-41 percent higher sponsorship retention for the following edition compared with events without post-event video. Sponsors do not buy a venue; sponsors buy audience scale, and scale only reads from above.
Shoot day workflow: 6 mandatory moments
- Pre-event recce 7-14 days out: verify CTR zones, align with venue security, mark points for the opening shot, check the no-fly perimeter around PGE Narodowy or EXPO XXI.
- Golden hour establishing 60-90 minutes before start: a 120-metre venue panorama, city context, brand signage in the frame. This is the hero shot for press materials and for the 2027 edition website.
- Opening / entry gate at peak ingress: a crowd of 8,000-15,000 people walking in with an aerial perspective for 25-35 seconds. One of three frames that captures scale.
- Hero brand moment: a drone reveal of the main brand activation on stage or in the fan zone. Example - the pyro launch during the opening of Open'er Festival in Gdynia, syncing the drone shot to the beat drop.
- Crowd reveal at peak engagement: a pull-back from 30 m to 150 m over 12-18 seconds during the main act. The frame that visualises attendance for sponsors and the press.
- After-party / closing: blue hour venue lighting, last guests, brand end-card. The emotional close that wraps the aftermovie narrative.
Venue notes: where you can fly, where you cannot without consent
- PGE Narodowy: inside the stadium without consent of the directorate - prohibited; we shoot on the basis of an application to PL.2012+ at least 21 days in advance. Shooting from outside at 50 m from the structure is allowed within the event plan, but requires coordination with PAŻP (CTR EPWA is active within a 5 km radius of Chopin Airport).
- Torwar: interior shots require consent from Legia Warszawa SA and PZHL for a hockey event. Pre-event shooting from outside between 6:00-9:00 is a practical window without restrictions. Located in CTR EPWA, PAŻP coordination always required.
- EXPO XXI Warszawa (Prądzyńskiego street): an event-friendly venue, drone shooting on the outdoor plaza is allowed under event permits. Indoor halls - cinewhoop FPV only after signing the safety protocol and mandatorily without guests on the first flight. CTR EPWA - coordination mandatory.
- Stadion Legii (Łazienkowska 3): similar to PGE Narodowy. Inside - only with SSA Legia consent. Outside - event permits + PAŻP, golden hour shots with the Vistula in the background are the flagship frame for events at this venue.
- Hala Koło and ICE Kraków Congress Centre: ICE Kraków is outside CTR EPWA, procedurally simpler. Hala Koło in Warsaw - CTR EPWA, but a low axis for small events, we usually obtain consent in 7-14 days.
- PKOl Olympic Centre (Wybrzeże Gdyńskie): a good venue for a sport gala, exterior shooting with PAŻP coordination. The Vistula in frame and the Żoliborz panorama as compositional bonuses.
- Open-air locations (Park Skaryszewski, Pole Mokotowskie, Stadion Syrenki): event permits from the City of Warsaw + PAŻP. Pole Mokotowskie - a large area, a favourite for festivals, but CTR EPWA + proximity to Babice Airport require precise coordination.
Final outputs: 3 cutdowns that are actually used
- Aftermovie 60-90 seconds: the main sales tool, goes to sponsors for 2027, to the edition's website, to the trade press (Brief, Marketing przy Kawie, Press). 16:9 master, colours to the brand book, music license cleared.
- Vertical 15 seconds: for Instagram Reels, TikTok, Shorts. This is the channel that reaches the next-gen audience and delivers 60-80 percent of the event's organic reach in the first 72 hours. 9:16 master, hook in the first 2 seconds.
- Sponsor cutdown 30 seconds: one cutdown per key sponsor, focused on their presence at the event - branded zone, OOH, stage backdrop, fan engagement. The sponsor receives their file for exclusive use for 30-90 days as part of contract deliverables.

Prices include PAŻP submissions, 5 million PLN third-party liability insurance (required by all Warsaw venues), a licensed operator with the UAVO Pilot Qualification Certificate, and DJI Inspire 3, DJI Mavic 3 Pro Cine and FPV cinewhoop drones. They do not include: overtime above 12 hours (200 PLN/h), music licenses (250-1,800 PLN depending on distribution), additional venue consents (usually 0-1,500 PLN, invoiced by the venue).
I sell sponsorship for 4 large events in Warsaw a year. Sponsors do not want a pdf report with numbers; they want to see the aftermovie from the previous edition in the first 30 seconds of the meeting. If that aftermovie has no drone shot with the mass of the audience and their logo above the stage, I sell everything 30 percent cheaper. The drone is not an extra, the drone is the lever that sells the next edition.
Frequently asked questions
- How much lead time is needed for permits in Warsaw CTR?
- Minimum 21 days for events at large venues (PGE Narodowy, Torwar, EXPO XXI, Stadion Legii), because coordination covers venue consents + PAŻP + possibly emergency services. For smaller outdoor events (up to 2,000 people, up to 50 m AGL) 7-14 days is enough. We never take an event with a lead time under 7 days in CTR EPWA, because the risk of NOTAM rejection is real and costly.
- What if the weather kills the flight on event day?
- We have hard-limit weather thresholds: wind above 12 m/s in gusts, heavy precipitation, visibility below 1,500 m. On a hard no-fly we run a back-up plan: focus on cinewhoop FPV indoors (where the venue allows it) plus detailed ground rig + Ronin gimbal shots. The aftermovie is delivered, but without wide aerials. A partial 20-30 percent refund of the package price is written into the contract.
- Can you fly indoors?
- Yes, we use cinewhoop FPV (DJI Avata 2 or custom GoPro 12 cinewhoop). The first flight is always without guests - safety protocol mandatory. Indoor flights work very well at EXPO XXI, Hala Stulecia in Wrocław and in the ICE Kraków halls, where high ceilings of 12-20 m give room to manoeuvre. In conference rooms with ceilings below 6 m we drop FPV - the quality advantage is small and the incident risk is high.
- Do you live-stream from a drone?
- Yes, for flagship events. The stream runs through a DJI Cellular Module + a dedicated RTMP encoder, latency 2-4 seconds, quality 1080p/30. It requires additional PAŻP coordination (a flight longer than standard BVLOS) and a separate streaming operator on site. Additional price: 2,500-4,500 PLN, depending on stream length and number of destinations.
- Who keeps the raw footage?
- Standard: we keep the raw footage for 90 days from aftermovie delivery; in the multi-day festival package raw handover on an external SSD to the client is included. For half-day and full-day, raw handover is an option of 1,200-1,800 PLN, depending on material volume. The license for commercial use of the raw is negotiated separately, typically client-exclusive for 24 months with a creative credit for our agency.
